Collecting and Using Your Personal Data
Types of Data Collected
Personal Data
While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:
Email address
Usage Data
Usage Data
Usage Data is collected automatically when using the Service.
Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.
We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.
Analytics and Product Interaction Data
We use analytics Service Providers, including PostHog, to understand how the Service is used and to improve product quality. This may include pages and screens viewed, buttons or controls interacted with, feature usage, funnels, subscription status or category, app platform, app version and build, browser, operating system, device type, unique identifiers, account identifiers when You are signed in, timestamps, Product Interaction data, diagnostics, and performance information.
We may use masked session replay for small amounts of traffic to troubleshoot usability and product issues. Mobile session replay masks text inputs, images, and sandboxed views, and disables log and network telemetry. Web analytics masks captured element text and element attributes. We do not intentionally send user-created vocabulary, learning content, or group names as custom analytics event properties.
We also measure approximate country, device and interface locale, the native and learning languages You select, onboarding progress, foreground screen time, subscription trial and payment events (including transaction identifiers, amounts and currencies), and usage of external services such as speech assessment and text-to-speech. External-service analytics contains request outcomes, duration and available usage counts, rather than Your prompts, vocabulary or recordings.
Analytics data is used to operate, secure, debug, analyze, and improve the Service. It is not used to track You across third-party apps or websites for advertising.
Browser Extension Data
The Polidict Browser Extension lets You look up vocabulary from webpages and, when You are signed in, save it to Your Polidict Account. When You start a lookup, the Browser Extension sends the word or text that You explicitly select or enter, together with limited surrounding text needed to provide relevant definitions, to Polidict's servers. It does not collect Your browsing history or transmit the address of the page You are viewing.
When You are signed in, the Browser Extension retrieves the profile and vocabulary-group information needed to display Your Account and sends the content for Account actions You request, including learning-item text, definitions, examples, comments, images, and group assignments. If You use image search or AI-assisted suggestions, the Browser Extension sends Polidict the search terms, optional prompt, and related learning-item content needed to provide that feature.
The Browser Extension needs permission to run on webpages so it can show the selection control and lookup panel after You select text. It uses access to polidict.com and api.polidict.com to read Polidict authentication Cookies and locale Cookie and communicate with the Service. Authentication information is used only to connect the Browser Extension to Your Polidict Account and authorize the Account actions You request.
Authentication tokens and session metadata, profile details, and a short-lived cache of Your vocabulary groups are stored locally in Your browser to provide the feature and keep Account data separated. Your selected language and extension settings may use browser-provided sync storage, which can make those preferences available in other browser instances where You are signed in. In Chrome, Google may process these preferences through Chrome Sync under Google's privacy policy. Data sent between the Browser Extension and Polidict's servers is transmitted using HTTPS.
We use and transfer Browser Extension data only as necessary to provide, maintain, secure, and improve the Browser Extension's disclosed vocabulary lookup and saving features, comply with applicable law, or protect against fraud or abuse. Service Providers may process this data only when needed for those purposes. We do not sell Browser Extension data or use it for personalized advertising or creditworthiness. We do not share Browser Extension data with advertising platforms or business partners for marketing. We do not allow humans to read Browser Extension data except with Your explicit consent for specific support, when required for security or legal compliance, or after the data has been aggregated and anonymized for internal operations. Any transfer of Browser Extension data as part of a merger, acquisition, or sale of assets would require Your explicit prior consent.
These Browser Extension-specific restrictions apply even where other sections of this Privacy Policy describe broader uses or disclosures. The Browser Extension's use and transfer of information complies with the Chrome Web Store User Data Policy, including its Limited Use requirements.
ChatGPT and Other Connected Assistants
When You connect Polidict to ChatGPT or another compatible assistant, the assistant can request the Polidict profile, current plan and remaining capacity, learning languages, vocabulary, meanings, examples, notes, image and pronunciation URLs, groups, and learning progress needed for the actions You request. That information is returned to the connected assistant and is processed under its provider's applicable terms and privacy policy, including OpenAI's when You use ChatGPT. Only connect an Account whose information You want to share with that assistant.
Polidict receives the tool requests sent by the assistant, including search terms, requested vocabulary and group changes, image selections, and confirmed practice outcomes. Polidict does not receive Your entire conversation through this integration. Practice questions, Your answer text, and writing feedback stay with the assistant unless You ask it to save that text as vocabulary content, such as an example or note. Practice submissions identify the word and meaning being practised, the skill, the reported outcome, whether the assessment came from the assistant or Your self-assessment, and confirmation to save; they do not include raw answer text or feedback. The integration does not accept file uploads or audio recordings. Audio used in the conversation is handled by the assistant's provider under its policies; Polidict does not independently assess pronunciation through this integration.
You connect using Your existing Polidict sign-in and explicitly approve the assistant's requested permissions. Polidict issues separate, limited access credentials to the assistant; Your Polidict browser login cookie is not sent to it. We store Your Account identifier, the connected application, approved permissions, connection dates, consent records, and encrypted authorization data to maintain and manage the connection. Token-security records use hashed token identifiers. These permissions apply only to the connected Account.
The assistant conducts practice in the conversation using a batch of words from Polidict. Polidict does not store the exercises or unsaved answers, and cannot recover them if the conversation is lost. Saving progress requires Your confirmation after feedback for each practice outcome, including failed attempts. Declining to save, skipping a question, or revealing an answer does not itself change Your progress. Polidict relies on the outcome and confirmation reported by the assistant rather than grading the conversation itself.
Confirmed vocabulary changes and learning progress remain part of Your Account until You change or delete them. Polidict keeps temporary receipts for vocabulary changes, group changes, and practice submissions so repeated requests do not apply the same change twice. These contain request metadata and operation results, which may include the affected vocabulary or group information; a batch receipt also prevents counting the same practice batch more than once. Receipts are scheduled for deletion 24 hours after acceptance. Authorization data and token-security records are scheduled for deletion at their configured expiry or up to one day later; approved connections have a maximum lifetime of 30 days under the current defaults. Consent audit records remain until Your Account is deleted. Database cleanup is asynchronous, so physical deletion can occur later.
If You request image search, the search terms are sent to Polidict's image-search Service Provider. Selecting a search result may send the provider a download-attribution request. Saved public image URLs, photographer credits, and source links can be returned to the assistant. You can also request saving a durable public image URL. This integration does not generate or upload images. Image and pronunciation hosts may receive ordinary viewing or playback requests from the client displaying that media.
When Polidict retrieves or generates pronunciation audio for saved words or phrases, it may send the vocabulary text and language to pronunciation sources and text-to-speech Service Providers. Pronunciation text and audio may be stored in a shared cache for reuse, separately from Your Account. This cache contains pronunciation audio from external sources or speech synthesis, not recordings of Your voice submitted through this integration. It currently has no automatic expiry, and deleting Your Account does not automatically remove its cached text or audio. For assistance removing cached content, contact support@polidict.com.
You can disconnect an assistant in Polidict's integration settings to prevent further access through that connection. Disconnecting does not delete vocabulary or progress already saved, or copies already received by the assistant. Deleting Your Polidict Account removes its connection grants, authorization data, consent and token-security records, and temporary receipts through Polidict's Account deletion process. You must manage conversation copies separately with the assistant's provider. For connection, correction, or deletion assistance, contact support@polidict.com.
